How to add word-by-word captions to a video on Mac or Windows

Quick version: open the video in Offline Captions, let it transcribe (offline), fix any words highlighted in yellow, choose a style and export. For clips up to 60 seconds you can also use the free web version, which runs in your browser.

Step by step

1

Open your video

Drag an MP4 or MOV (or a whole folder) into the app. Pick the language: English, or Hinglish for Hindi-English speech.

2

Review the transcript

Yellow words are the ones the engine is unsure about. Click to fix; add names to the dictionary so they're right next time. Filler words like "um" can be removed automatically.

3

Style and export

Choose Bold, Clean, Punch or Reveal and export. You get an MP4 with captions burned in at the original resolution, plus an .srt file.

Burned-in captions or an SRT?

Burned in

For Reels, Shorts, TikTok

Captions are part of the picture, so they show on every platform and keep your style.

SRT

For YouTube and course platforms

A separate subtitle file viewers can switch on or off; also importable into CapCut, Premiere or DaVinci.

Both

You get both on every export

No extra step.

Tips for better captions

  • Record with a clip-on or USB mic; room echo is the main cause of wrong words.
  • Put recurring names and brand terms in the dictionary before a big batch.
  • Keep lines short (the styles do this for you): two to four words reads best on a phone.
  • Check flagged words, not the whole transcript. That's where nearly all the fixes are.

FAQ

How do I add word-by-word captions on a PC?

Install Offline Captions for Windows, drag in your video, review the yellow-flagged words, pick a style and export. It transcribes offline and burns the captions into an MP4.

Can I add animated captions for free?

Yes, for short clips: the Offline Captions web version captions videos up to 60 seconds in your browser with no watermark. The desktop app ($39 once) removes the length limit and adds batch, Hinglish and the more accurate English engine.

Do I need an internet connection?

Only for one-time setup such as licence activation. Captioning itself works offline.

Stop renting your captions.
